Planning group trips is often stressful, leading to miscommunication, financial disputes, and last-minute coordination issues. Traditional budgeting and organization tools lack an engaging, collaborative approach, making it difficult to distribute responsibilities fairly and keep everyone accountable. Without clear role assignments, expense tracking, and incentives, group travel planning can become overwhelming and frustrating.

PROCESS

Group travel is as much about people as it is about logistics. Differences in priorities, spending habits, and availability can quickly complicate plans. Early in the process, I explored these challenges to understand the root causes and how they might be addressed.

PRELIMINARY RESEARCH AND IDEATION

Key Challenges in Group Trip Planning:
  • Diverse budget expectations can create tension over accommodations, dining, and activities.
  • Lack of clear communication often leads to misunderstandings about schedules and goals.

  • One person often shoulders most of the planning, leading to burnout.

  • Coordinating schedules can be complex, especially with larger groups.

  • Hidden costs—like local transport or service fees—are frequently overlooked.

  • Avoiding financial discussions can result in people spending beyond their comfort zone.

Challenges for Young Adults Specifically:
  • 42% of Gen Z and 47% of Millennials are willing to go into debt to travel.

  • Many underestimate costs, leading to budget overruns.

  • Impulsive spending habits drain funds quickly.

  • Social media-driven FOMO encourages overspending to “keep up.”

  • Limited financial literacy hinders effective budgeting and planning.

TARGETTED AUIDENCE

This project focused on young adult travellers planning group trips—often friends or peers with different budgets, priorities, and levels of travel experience. Addressing their needs meant tackling both practical planning tools and behavioural spending habits.

THE SOLUTION

The proposed solution combined clear budget-setting tools, transparent expense tracking, and collaborative itinerary planning. Centralized planning documents and assigned roles helped balance responsibilities, while flexible itineraries ensured personal preferences were respected.

THE DESIGN

The design emphasized:
  • Transparency: Shared budgets and visible expenses for all members.

  • Collaboration: Task assignment based on individual strengths.

  • Flexibility: Options for personal downtime and alternative activities.

  • Accessibility: Simple, intuitive interfaces for planning and cost tracking.

THE OUTCOME

By addressing both the logistical and behavioural challenges of group trip planning, the project aimed to reduce tension, prevent overspending, and create a more enjoyable planning process. The result was a framework that supports group cohesion, ensures financial clarity, and keeps the excitement of travel alive from planning to return.
